Privacy Policy
Last updated: 4 July 2026
This Privacy Policy explains how [LEGAL ENTITY NAME] (“we”, “us”) collects, uses and protects personal data when you use TeeTimeCaptain (the “Service”) — our mobile app and the website at teetimecaptain.com. We are the data controller for the personal data described here. Our registered address is [REGISTERED ADDRESS].
1. Information we collect
Account information (Captains)
When you create an account we collect your name and email address, and authentication data managed by our sign-in provider. If you sign in with Apple or Google, we receive the basic profile information you authorise.
Event and guest information
To organise a round we process the events you create (proposed dates, times, course options, notes) and the responses to them. When you invite a guest, we process the guest’s name and, if you provide them, their email address and/or phone number, so we can deliver invitations and reminders on your behalf. If you use payment tracking, we store the payment status you record (for example, “paid” or “owing”) — this is a note you manage; we do not process the underlying payment.
Device and usage information
We process technical information needed to run the app, such as a push-notification token (if you enable notifications), device and app version information, and approximate location if you grant permission (used to help you search for nearby golf courses). We also collect diagnostic and crash information to keep the Service reliable.
Subscription information
If you subscribe to Pro or buy add-ons, the purchase is processed by the Apple App Store or Google Play and by our subscription manager. We receive your subscription status and related identifiers so we can unlock paid features. We do not receive or store your payment card details.
2. How we use your information
- to provide the Service — create and manage events, collect responses, and lock in a final choice;
- to send invitations, reminders and event notifications by email, SMS, WhatsApp or push, at your direction;
- to manage subscriptions and entitlements;
- to keep the Service secure, prevent abuse, and diagnose and fix problems;
- to communicate with you about the Service and respond to your requests;
- to comply with our legal obligations.
3. Legal bases
Where UK / EU data-protection law applies, we rely on the following legal bases:
- Performance of a contract — to provide the Service you request.
- Consent — for example, sending certain marketing communications, or where a guest consents to being contacted. You can withdraw consent at any time.
- Legitimate interests — to secure and improve the Service and prevent abuse, balanced against your rights.
- Legal obligation — where we must process data to comply with the law.
4. A note about invited guests
When a Captain invites you to an event, the Captain has provided your name and, optionally, your contact details so we can deliver the invitation on their behalf. In this context the Captain decides why your details are used, and we process them to run the invitation and response feature. If you no longer wish to be contacted, you can decline the invitation, ask the Captain to remove you, or contact us at [PRIVACY EMAIL] and we will help.
5. Who we share data with
We do not sell your personal data. We share it only with service providers who process it on our behalf under appropriate agreements, and with the people you are coordinating with:
| Recipient | Purpose |
|---|---|
| Google Cloud | Hosting, database and app infrastructure |
| Firebase (Google) | Account sign-in and authentication |
| RevenueCat | Subscription and in-app purchase management |
| Brevo | Sending transactional email and SMS |
| Twilio | Sending SMS messages |
| Google Places / Maps | Golf course search and directions |
| Sentry | Error monitoring and diagnostics |
| Apple / Google app stores | Processing purchases and subscriptions |
| Other Captains & guests | Event details and responses are visible to the people invited to that event |
We may also disclose data where required by law, or to protect the rights, safety and security of our users and the Service.
6. International transfers
Some of our providers process data outside your country. Where we transfer personal data internationally, we rely on appropriate safeguards (such as standard contractual clauses or an adequacy decision) to protect it.
7. How long we keep data
We keep personal data for as long as needed to provide the Service and for legitimate business or legal purposes. Event and guest data is retained while your account is active; when you delete your account or an event, we delete or anonymise the associated personal data within a reasonable period, except where we must retain it to comply with the law.
8. Security
We use technical and organisational measures to protect personal data, including encryption in transit, access controls, and hashing of sensitive identifiers such as invitation tokens. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Your rights
Depending on where you live, you may have the right to:
- access the personal data we hold about you;
- correct inaccurate data;
- delete your data (“right to be forgotten”);
- restrict or object to certain processing;
- receive a copy of your data in a portable format;
- withdraw consent where we rely on it;
- lodge a complaint with your data-protection authority (in the UK, the Information Commissioner’s Office at ico.org.uk).
To exercise any of these rights, contact us at [PRIVACY EMAIL]. We will respond within the time required by applicable law.
10. Children
The Service is not directed to children under 16, and we do not knowingly collect personal data from them. If you believe a child has provided us with personal data, please contact us and we will delete it.
11. Cookies and analytics
Our website uses only the cookies and storage necessary to make the site and the RSVP flow work. We do not use the website to build advertising profiles. Our app stores a small amount of information on your device to keep you signed in and remember your preferences.
12. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to notify you (for example, in the app or by updating the date above).
13. Contact us
If you have questions about this policy or how we handle your data, contact us at [PRIVACY EMAIL], or write to [LEGAL ENTITY NAME], [REGISTERED ADDRESS]. If we have appointed a data protection officer or EU/UK representative, their details are: [DPO / REPRESENTATIVE DETAILS, if applicable].
